Re-Engage Inactive Members Using Filtered Announcements and Member Rules

Win back players who haven’t signed up in a while with just a few clicks! Every group has players who go quiet after a season or two. Instead of letting them drift away, give them a personalized nudge to return using targeted announcements.

With OpenSports announcements, you can quickly reconnect with members who haven’t recently registered for events or leagues. Announcements are sent via in-app messages or email, depending on user preferences, so your message is more likely to be seen. Here’s how to use Filtered Announcements and Member Rules to bring them back into the game!

Key Terms

  • Attendee Condition: Filters based on registration for events or programs.

  • League Player Condition: Filters based on registration for leagues or tournaments.

How to set this up:

  1. Locate Group Profile > Dashboard > Announcements, and Create New Announcement

  2. (Optional) Upload a custom image to highlight your event, or design a banner (recommended size: 2000 x 1000 pixels) using a tool like Canva to make your announcement more eye-catching.

  1. Add a Title and Message
  • Personalize your message: Start with a greeting and a playful nudge

  • Example hooks to include in your message:

    • “We haven’t seen you in a while! Come join the next [event name]!”

    • “We saved you a spot, register today and get 10% off!”

    • “Your last match was a blast. Ready for round two?”

  • Highlight what’s coming up: Mention a specific event, program, league or tournament, and what makes it exciting. Include a direct link to the event to register.

  • Add motivation: Include a discount or compelling hook to drive action.

  1. (Optional) Pin announcement to group home page. Only one announcement can be pinned on the group profile at a time.

Note: Pinned announcements will be visible to all members. If your group profile is public it will be visible to your members as well as general users.

  1. Select Send Now or Send Later
  • Send Now: The announcement will be sent immediately after you click Create.

  • Send Later: Choose a specific date and time for the announcement to be automatically sent to members.

  1. Under Send To select Filtered Members > Add Member Rule

For Events & Programs

  1. Select Add Custom Member Rule > Add Condition > Attendee Condition

  • Condition Type: Matching Condition

  • Total # of Registered: Attendees

  • Comparison: is equal to 0 (i.e. has not registered)

  • Check-in Status: All

  • Activity Type: Select Events, Programs, or Events & Programs (depending on what you want to include)

  • (Optional) Required Tags: Add any event tags to narrow the filter. If multiple tags, only events that match all tags will be included.

  • Activity Start: Choose ‘Is in the last” and set the timeframe (e.g. 2 months or 60 days) to target players who haven’t registered recently.

For Leagues & Tournaments

  1. Select Add Custom Member Rule > Add Condition > Add League Player Condition

  • Condition Type: Matching Condition

  • Total # of Registered: Attendees

  • Comparison: is equal to 0 (i.e. has not registered)

  • Check-in Status: All

  • Activity Type: Select Leagues, Tournaments, or Leagues & Tournaments (depending on what you want to include)

  • (Optional) Required Tags: Add any league or tournaments tags to narrow the filter. If multiple tags, only events that match all tags will be included.

  • Registration Start: Choose “Is in the last” and enter the number of days to filter players based on when they last registered for a league or tournament.

  • Match Start: Choose “Is in the last” and enter the number of days to filter players based on when their last league or tournament match started.

  1. After reviewing all the details, you can Preview Recipients to see the list of users that it will go to before sending the announcement. When you're ready, click Create to send it out.

Can I do two conditions in one announcement?

Yes! You can target both league players and event attendees in one announcement by adding two conditions. To do this, click Add Condition in the bottom right corner, and add both an Attendee Condition and League Player Condition.

Why This Works

This approach works because it helps you avoid sending broad announcements to your entire group. Instead, you’re targeting only the players who haven’t been recently active, giving them a direct nudge to rejoin your leagues, programs, or events!

By using Member Rules, the system automatically tracks inactive players, helping you re-engage with them without much manual effort. It’s a simple, effective way to improve retention and keep your community active.
