Custom Questions allow admins to collect activity‑specific information from players during registration. These questions appear during checkout and help you gather details that are unique to a specific event, program, league, or tournament.
This update introduces a more flexible way to manage Custom Questions, including the ability to edit and remove existing questions, all from the centralized settings area.
The improvements we’ve made
With this update, you can:
Create Custom Questions in Settings (not just during activity creation)
Easily edit and standardize questions before using them in new activities
Remove outdated questions
Update the input type (for example: text field, dropdown, etc.)
See the usage of Custom Questions across all the activities you’ve created
This makes it easier to maintain a clean, consistent set of Custom Questions across your organization.
When to use Custom Questions
Custom Questions are ideal for collecting activity‑specific details, such as:
- T‑shirt sizes for a multi-week skills clinic
- Player preferences or experience related to a specific activity
- One-off questions tied to a particular program, league, or tournament
- The names of friends that players want to be partnered with
- What players are bringing to a holiday potluck
Note: To collect basic or ongoing member information (such as email address, phone number, or external membership status) we recommend using Admin Member Forms or Member Forms, which are designed for long‑term data collection and reporting.
Set up Custom Questions
There are two ways of setting up Custom Questions:
- Through Dashboard > Settings > Custom Questions (New method)
- During activity setup by selecting New List of Questions
Method 1: Through Settings
Locate Group Dashboard > Settings > Custom Questions
Select New List of Questions and choose either:
- Events and Programs
- Leagues and Tournaments
Create a name, and enter the question you’d like to ask.
Select Show Options to add a description, enable it as a required question or customize the Input Type.
Optionally add additional questions by selecting Add New Question.
Once you’ve added all the questions and reviewed them, click Add New Questions to save.
Once saved, the Custom Questions will be available to select when creating or editing Events, Programs, Leagues, or Tournaments by selecting Reuse Existing Questions.
Method 2: During activity creation
Events/Programs
Create a new event or program and locate Custom Questions.
Select New List of Questions.
Choose which registration type the question applies to.
Leagues/Tournaments
Create a new League or Tournament.
Add Team or Individual Registration.
Within each registration type, locate Registration Forms.
Select New List of Questions.
Repeat this process for each registration option you’d like to add Custom Questions to.
Edit and Delete Custom Questions
Method 1: Through the Activity Settings
Use this option if you only want to update the question for the specific event, program, league, or tournament.
Open the activity you want to update and locate activity settings.
Under Custom Questions select Edit or Delete.
If you choose Edit it will default to Only This Registration, which will create a new version that has the changes.
Note: Removing Custom Questions from an activity will remove it only from that specific activity and will not affect the same question used elsewhere.
If you make changes to Custom Questions after players have already signed up for activity, they won’t be prompted to resubmit their response and the system will keep their original response. The updated questions will apply to all future registrations.
Method 2: Through Settings > Custom Questions
Use this option if you want to update the question everywhere it’s used.
Locate Settings > Custom Questions.
Choose the question you want to edit or delete.
Note: Editing Custom Questions from Settings will automatically update that question for all activities where it’s applied. Deleting Custom Questions from Settings will not remove it from existing activities. To fully remove the question from an event, program, league, or tournament, you must delete it directly from that specific activity using Method 1.
FAQ
1. Will editing Custom Questions change past responses?
No. Editing Custom Questions will not change or delete responses that have already been submitted. Existing responses remain intact, while the updated question will apply to future registrations.
2. If I edit Custom Questions in Settings, where will the change apply?
Editing a Custom Question in Settings > Custom Questions will update it in all places where it is applied.
3. If I delete Custom Questions from Settings, will it be removed from existing activities?
No. Deleting Custom Questions from Settings only removes it from being selected in the future from the list of Custom Questions. To fully remove the questions from an existing activity, you must delete it directly from that specific activity’s settings.
4. What’s the difference between editing Custom Questions from Settings vs. from an activity?
Edit from Settings: Updates the question everywhere it’s used
Edit from Activity Settings: Option to edit the questions for just that one activity or everywhere it is used.
5. Can I make the question in Custom Questions required?
Yes. When creating or editing a question, select Show Options and enable the Required toggle so players must answer before completing registration.
