Why use accounting codes?
Accounting codes (also known as General Ledger Codes) help categorize financial data for reporting and analysis within the OpenSports reports center, as well as for integration with external systems like Stripe. Essentially, it’s an alphanumeric sequence tagged to every fiscal entry in an organization's books. You can categorize:
By Sport: Useful for multi-sport organizations. For example, soccer could be coded as 101, kickball as 102, volleyball as 102, and so on.
By Facility: Track finances based on the location or facility where the event is held.
By Program Type: Differentiate between activities, such as figure skating lessons having a unique code, standard skating another, and hockey its own distinct code.
By Instructor: Monitor financial transactions based on the instructor running the event.
How to add an accounting code to an activity
When creating an event, program, league, or tournament, look for the Accounting Code section.
Click Add to create a new code, or use the drop down menu to select a pre-existing accounting code. Accounting codes are only visible to admins within the event or tournament settings, they are not visible to players.
A modal will appear. Enter the Accounting Code (e.g., "102") and Name (e.g., "Outdoor League").
Once saved, this code will be selectable for future events.
Note: Group admins, league managers, and event managers can all add and assign accounting codes when creating or editing events and leagues. However, only group admins can access the Accounting Codes through Settings to edit or delete existing codes.
